What this journey achieves

Before the first day, each student needs a class to be in, each family needs an address that is right, and each teacher needs a timetable to read. This journey gets the school there in the weeks before term starts.

The registrar builds the classes and checks the households. The front office loads photographs. The business manager or the IT officer brings staff across from the payroll or HR system and records their checks. A teacher opens Kestrel on the first morning and reads their day.

The steps in order

  1. Registrar

Choose "Set up a build" for a year level and school year, then "Set it up". Open the build, choose "Add a rule" for each requirement (the rule, and its balance), then "Run the build". Read the proposed classes, choose "Approve these", and finally "Write the memberships" so each student is placed.

  2. Registrar

Open Subjects and Classes and check them. Use "Add a subject" or "Add a class" for anything the build did not create. A search for a class code that matches nothing says "No class matched" followed by the code.

  3. Registrar

Check the subjects the classes belong to.

  4. Front office

Search the households by address or name. Open a household, and choose "Edit the address" where a family has moved: give the date they "Moved on", the street, suburb or town, state or territory and postcode, then "Save it".

  5. Front office

Load the student photographs. Name each file for the student's number, choose the numbering scheme in the toolbar, pick the files and choose "Add to records". Kestrel matches each file to the record with that number and names any file that matches nothing.

  6. IT

Choose "Map an export" to tell Kestrel which columns of the staff file mean what, then run the import under "Run an import".

  7. Business manager

Open a staff member's page and choose "Record a check" for each check they hold: the jurisdiction, when it expires and the register checked. Use "Record employment" for the position and its start date.

  8. IT

Choose "Register" to connect a system students sign in to, so it receives the class rosters. "Revoke" disconnects one.

  9. Teacher

Open the timetable and read the day. The page opens on your own day, and "Previous day", "Next day" and the "Week" view move around it.

Things to watch for

What happens next

Once classes exist, teachers can mark rolls, and the daily rolls journey begins. Staff checks stay current through the year: a person who holds the staff and check capabilities reads "Checks about to lapse" on their home page, with each check that lapses within thirty days.
